How to Effectively Communicate a Vehicle Concern to Your Mechanic

One of the biggest misconceptions I see as an ASE-certified technician and owner of Muller Auto, a mobile mechanic in Fort Wayne, is that customers think they need to diagnose their vehicle before bringing it to a mechanic. In reality, the best thing you can do is accurately describe what your vehicle is doing and let the diagnostic process determine the cause. Over the years, I’ve worked on thousands of vehicles ranging from simple maintenance to complex electrical and drivability concerns. One thing has remained consistent: the quality of information a customer provides can significantly impact how quickly and accurately a problem is diagnosed. If you want to save time, avoid unnecessary repairs, and help your mechanic find the issue faster, here are some of the most important things you should communicate.

Describe the Symptoms, Not the Diagnosis

This is by far the most common mistake customers make. Many vehicle owners will arrive and say things like  “It needs an oxygen sensor”, “The wheel speed sensor is bad”, “The fuel pump is failing” or “AutoZone said it needs this part.” The problem is that these statements describe what someone believes is wrong, not what the vehicle is actually doing.

A perfect example involved a customer who brought in a vehicle with an ABS concern. He explained that the ABS was activating during braking. I verified the concern, scanned the vehicle, found a relevant fault code, and identified an ABS module issue. After replacing the module, the ABS warning light was gone and the light ABS activation he described was resolved. During the final test drive, however, the vehicle suddenly applied the brakes aggressively and made a loud clanking noise. When I contacted the customer, he immediately sent me a video and said, “That’s the problem I was talking about.”

The issue was that we weren’t talking about the same symptom. After further inspection, I discovered the rear brake shoes had come apart inside the drum brakes. Pieces of the brake lining would occasionally jam in the drum and cause the brakes to grab violently. Sometimes the vehicle behaved normally, and other times it would nearly throw you forward in your seat. The customer was trying to help by telling me he believed the ABS was activating. Unfortunately, that diagnosis pointed in a different direction than the actual problem. Had the original concern been described as “the brakes occasionally grab extremely hard and make a loud clanking noise,” the diagnostic process would have started differently. Your mechanic doesn’t need you to tell them what part to replace. They need you to tell them what the vehicle is doing.

Explain Exactly When the Problem Happens

One of the first questions I ask customers is whether the concern happens all the time or only under specific conditions.

Details like these matter:

  • Does it happen every time or only occasionally?

  • Does it occur while braking?

  • Does it happen while turning?

  • Is it worse at highway speeds?

  • Does it happen only when the engine is cold?

  • Does it happen after the vehicle warms up?

  • Does weather affect it?

Small details can dramatically narrow down possible causes.

For example, if a vehicle runs rough only after it reaches operating temperature, that information immediately changes my thought process. Certain systems become active only after the engine warms up. Components such as EGR systems, oxygen sensors, and fuel control strategies operate differently once the vehicle enters closed-loop operation. A symptom that occurs only when warm can point a technician in a completely different direction than a symptom that occurs all the time. The more specific you can be about when a problem occurs, the faster your mechanic can begin eliminating possibilities.

Tell Your Mechanic About Recent Repairs

Another piece of information that often gets overlooked is recent work performed on the vehicle. If a clunk develops immediately after suspension work, that’s valuable information. If electrical issues begin after an aftermarket accessory installation, that’s valuable information. If warning lights appear after someone worked under the hood, that’s valuable information. 

I’ve seen situations where a vehicle develops a front-end noise shortly after another shop replaced control arms or a CV axle. In those cases, it makes sense to inspect the recently serviced area first. That doesn’t automatically mean the previous repair was done incorrectly. Sometimes parts fail, hardware loosens, or something unrelated happens coincidentally. However, knowing what was recently touched helps guide the diagnostic process.

Mention Anything Unusual That Happened Before the Problem Started

Customers often leave out details because they don’t think they’re related. Many times, those details end up being the most important clues.

One example that stands out involved a parking brake concern. During the conversation, the customer casually mentioned spilling coffee inside the vehicle shortly before the problem started. There was a code set that indicated an issue with the right rear electronic park brake circuit. The circuit tested fine. Ultimately the coffee had contaminated the switch. Without that information, diagnostic time would have increased significantly.

If any of the following happened shortly before the concern started, mention it:

  • Coffee or liquid spilled inside the vehicle

  • A battery replacement

  • A dead battery

  • Jump starting the vehicle

  • A collision

  • Water intrusion

  • Rodent damage

  • Aftermarket modifications

  • Recent repairs

Even if you think it sounds unrelated, tell your mechanic anyway. Let us decide whether it matters.

Be Honest About Previous Diagnosis Attempts

Another thing I appreciate hearing is whether the vehicle has already been inspected by someone else.

Tell your mechanic if:

  • Another shop has diagnosed it

  • Parts have already been replaced

  • Fuses have been removed

  • Connectors have been unplugged

  • Diagnostic codes have been cleared

  • Someone has attempted repairs

I’ve worked on vehicles where someone disconnected components, removed fuses, or cleared codes before bringing the vehicle in. Those actions can alter test results and make the diagnostic process more difficult. The more information we have, the better we can understand what we’re looking at.

Videos Can Be Extremely Helpful

One of the best tools customers have today is their smartphone. Intermittent concerns are often difficult to duplicate. If a noise, warning message, vibration, or drivability issue occurs randomly, recording a video can be incredibly valuable.

A video can show:

  • Dashboard warning lights

  • Engine noises

  • Suspension noises

  • Starting problems

  • Vibrations

  • Brake concerns

While videos aren’t always necessary, they can save significant time when dealing with intermittent issues that don’t occur during an appointment.

Ride-Alongs Can Solve Difficult Problems Quickly

Sometimes the fastest diagnostic tool is simply having the customer demonstrate the concern. I frequently perform ride-alongs for intermittent noises. One customer complained of a clicking noise coming from the engine compartment. After inspecting the vehicle, I couldn’t find anything abnormal. The customer then rode along and pointed out the exact noise. Within seconds, I recognized it as normal A/C compressor operation.

It was the first hot day of the year, and the vehicle was a 20-year-old work van. The customer was accustomed to driving newer vehicles and interpreted a normal operating sound as a problem. Without that ride-along, I could have spent far more time trying to locate a noise that wasn’t actually a failure. Sometimes hearing exactly what the customer is hearing makes all the difference.

Why Diagnostics Matter More Than Guessing

One of my strongest beliefs as a technician is that diagnostics save money. I see situations regularly where customers request specific parts because of an internet search, a friend’s recommendation, or a free code scan. Just recently, a customer requested a wheel speed sensor because the vehicle had a wheel speed-related fault code. Instead of replacing the sensor immediately, we performed diagnostic testing. The actual failure was the ABS module.

Replacing the sensor first would have cost the customer money while doing nothing to solve the problem. This is especially important on older vehicles where rust, seized fasteners, and fragile components can turn an unnecessary repair into an expensive one.

A scan tool does not diagnose vehicles. A scan tool provides information. Professional diagnostics involve:

  • Understanding system operation

  • Following manufacturer testing procedures

  • Interpreting data

  • Verifying failures

  • Electrical testing

  • Mechanical inspection

  • Experience

In my experience, a multimeter is involved in the majority of diagnostic procedures at some point. Proper diagnosis is far more than reading a fault code and replacing the first part that sounds related.

Help Your Mechanic Help You

The best way to communicate a vehicle concern is simple: Tell your mechanic what the vehicle is doing. Tell them when it happens. Tell them what changed before it started. Tell them about recent repairs. Tell them if anyone has already worked on it. Send a video if you can. Avoid diagnosing the problem unless you’re absolutely certain of the cause. The more accurate information you provide, the more efficiently a technician can perform diagnostics, identify the root cause, and recommend the correct repair.

At the end of the day, the goal isn’t to replace parts. The goal is to solve the problem correctly the first time.
